Aesthetic Front Desk ("we", "us") provides AI receptionist, website and social media services to med spas and aesthetic clinics. This policy explains what personal data we handle, why, and your rights. We are based in France, so the EU General Data Protection Regulation (GDPR) applies to us.

Who is responsible

What we collect on this website

• Emails you send us and anything you share when booking a call through our booking page (hosted by Cal.com): your name, email, clinic, website and chosen time. We use these to reply, run the call and prepare for it.
• Technical data needed to deliver the site, such as your IP address, processed by our hosting provider (Cloudflare) and by Google Fonts, which serves the site's typefaces.

This site does not use advertising cookies or tracking analytics.

Business outreach

We contact clinics by email using business addresses that are published, for example on a clinic's own website, and only about our services for the clinic. Our legal basis is our legitimate interest in offering relevant services to businesses. Every email identifies us and lets you opt out: reply "no thanks" and we will not email you again.

Data we process for our clients

When we run an AI receptionist for a clinic, we process callers' details (such as name, phone number and requested appointment) on that clinic's behalf and only on its instructions, under our agreement with the clinic. The clinic is responsible for that data; callers should contact the clinic about it. The receptionist is designed for booking and general questions, not medical information.

Who we share data with

We use trusted providers to run our business, including Google Workspace (email and video calls), Cloudflare (website hosting and email forwarding), Cal.com (call booking) and, for client services, telephony, SMS and voice AI providers. Some are located outside the EU; where that happens, transfers rely on safeguards such as the European Commission's Standard Contractual Clauses. We never sell personal data.

How long we keep it

Sales correspondence is kept for up to 3 years after our last contact. Opt-out requests are kept permanently so we never contact you again. Client data is kept for the length of our agreement with the clinic, then deleted or returned.

Your rights

You can ask to access, correct or delete your data, object to its use, restrict it, or receive a copy. Email hello@aestheticfrontdesk.com and we will reply within one month. You can also complain to the French data protection authority, the CNIL (cnil.fr), or the authority where you live.

Changes

We may update this policy. The date at the top shows the latest version.
